1. Information We Collect
We collect information you provide directly to us when creating an account (name, email, company name, phone number), information about your technicians (name, phone number), customer data you submit (customer names and phone numbers), usage data (how you interact with our Service), and payment information (processed by Stripe — we do not store card numbers).
2. Customer Data
When your technicians submit jobs through VouchCrew, you provide us with your customers' names and mobile phone numbers. This data is used solely to send the SMS messages you have configured. We do not sell, rent, or share this data with third parties for marketing purposes. Customer data is associated with your account and deleted within 30 days of account cancellation.
3. How We Use Information
We use the information we collect to: provide, maintain, and improve the Service; send SMS messages on your behalf; process payments; send you service-related communications; and comply with legal obligations. We do not use your customers' data for any purpose other than providing the Service you have requested.
4. SMS Messaging
VouchCrew sends SMS messages to your customers on your behalf after they have provided verbal consent at the point of service. Message frequency varies, but customers typically receive one message per service visit. Message and data rates may apply based on the recipient's mobile carrier plan. Recipients can opt out at any time by replying STOP, UNSUBSCRIBE, CANCEL, END, or QUIT to any message — opt-outs are honored immediately and permanently across our entire system. Reply HELP for support information. Mobile information (including phone numbers) will not be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-out records are retained indefinitely to prevent re-contacting opted-out customers.
5. Data Sharing
We do not sell your personal information or your customers' personal information. We share data only with: service providers who assist in operating the Service (Twilio for SMS, Stripe for payments, AWS for database and hosting, Anthropic for AI responses, Resend for email); legal authorities when required by law; and successors in the event of a merger or acquisition.
6. Google API Services & Limited Use Disclosure
VouchCrew's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. When you connect your Google Business Profile, we use the following Google API scopes: (1) "https://www.googleapis.com/auth/business.manage" — to list your business locations, read incoming reviews for the location you select, and post review replies that you have approved; (2) "openid" and "email" — to identify the Google account you connected, shown in your dashboard so you know which account is linked. We do NOT use Google user data for advertising, sell it to third parties, or transfer it except as needed to provide the user-facing features you have requested (review syncing, AI response generation on your behalf, and response posting back to Google). We do NOT modify business information, photos, posts, hours, or any GBP data other than review replies you explicitly approve. Google OAuth refresh tokens are stored encrypted in our database and used solely to re-authorize API access on your behalf. Human operators (VouchCrew staff) do not read your Google review content except (a) when you contact support with a specific request, (b) when required for security investigations or to comply with applicable law. AI processing of review content (for generating draft responses) happens via Anthropic's Claude API under their data processing terms; this processing is the user-facing feature you requested. You can disconnect your Google account at any time from the Settings page, which immediately revokes our access tokens at Google and stops all future syncing. Disconnecting does not delete reviews already imported into your dashboard; you can delete those separately by cancelling your VouchCrew account.
7. Data Retention
We retain your account data for as long as your account is active. If you cancel your account, we retain your data for 30 days to allow reactivation, after which it is deleted. SMS opt-out records are retained indefinitely to prevent re-contacting opted-out customers.
8. Security
We take reasonable measures to protect your information from unauthorized access, use, or disclosure. We use encryption in transit (HTTPS/TLS) and at rest. Access to production systems is limited to authorized personnel. However, no security measure is 100% effective, and we cannot guarantee absolute security.
9. Your Rights
You may access, correct, or delete your account information at any time by logging into your account or contacting us. You may export your proof submissions as CSV from the dashboard. You have the right to request deletion of your account and all associated data. California residents have additional rights under CCPA; contact us for more information.
10. Children's Privacy
The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected such information, we will take steps to delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "last updated" date. For material changes, we will send an email notification to the address associated with your account.
